Your Annual Budget

 

 

There are 3 possible sources of funding....

Source: School of Medicine Office of Student Affairs

Deadline: Friday, August 29th, 2008. Turn in to Tracey Eady at the Office of Student Affairs.  If you have any questions about filling out the form itself please contact either Tracey Eady (teady@med.wayne.edu) or Allison Gherardini (agherard@med.wayne.edu) in Student Affairs.

Who is/is NOT Eligible: Student Interest Groups are NOT eligible (because they get funding from their respective departments).  All other student organizations recognized by the Office of Student Affairs are eligible. 

Description: This is the traditional major source of funding for wsusom student orgs (except the student interest groups).  This money comes from the Alumni Association. 

 

Primacy is given to those organizations with higher activity level and larger membership sizes with appropriate demands.  Generally events that already have a history of success especially previously held speaker events, festivals, outreach events, trips to conferences, and medical missions have had the best chance for funding from the school.  Previous funding history does not guarantee future funding though it is a good indicator.  Similarly radically new budgetary requests will be given due consideration but may not have as good of a chance as previously established successful requests.  A major determinant is the total amount available for student organizations which may vary from year to year.

More often than not, annual budgets awarded by the Office of Student Affairs covers only a portion of the total request.  It is up to the student organization to seek other avenues of financing.  Please also see “Alternative Funding” for other sources and fundraising ideas.

Process:

-Student Orgs submit the annual budget form to Student Affairs.

-BSO asks for any info that the student orgs would like to be represented by the BSO on their behalf at the BSO's meeting with Student Affairs when annual budget fudning is allocated 

-BSO attends said meeting to represent the student orgs and to recommend the budgets. The final decision on funding allocation ultimately is made by the Office of Student Affairs. 

-Student organizations are notified.

Source: Main Campus

Deadline: Varies based on when you need funding and for what. Usually need to submit request 8 weeks before.

Who is/is NOT Eligible: Your organization must be recognized by main campus. Also, there are certain things that main campus funds and certain things it does not. Need to check with DOSO's Laura Pechta (lepechta@wayne.edu) for any questions about funding. Check with DOSO's Tiny Sebastian [aj2962@wayne.edu] for questions about main campus recognition.

Description: Main campus is a relatively untapped financial resource for WSUSOM student orgs. It is a requirement for Student Senate funding (source #3)

Source: Student Senate

Deadline: Varies based on when you need funding. Student Senate meetings are held every other Tuesday at 6 pm at Scott Hall. Please email the Student Senate President (Joe Burkett) or the Student Senate Vice-President (Sarah Hutto) or the Student Senate Treasurer (Millicent Traylor) that you would like to attend the next Senate meeting and to make a funding request (please specify amount)

Who is/is NOT Eligible: Need to be recognized by both the school of medicine and by main campus. (See Source #2). Also need to have applied for main campus funding for the said request beforehand and to briefly explain why it was denied.

Description: The Student Senate has the smallest amount of available funding out of the three resources.  It is generally for small and specific requests (e.g. travel expenses for a conference)

Funding Requests as defined by the Student Senate Bylaws (Robert’s Rules of Order current addition):

Article XII Financial Policy

The financial matters of the Senate shall be overseen by the Budget committee during the academic year.

Section 4:  Guidelines for Requesting Fund

A.      The Treasurer of the Executive Committee shall make information available to all recognized Student Organizations about all relevant by-laws, requesting procedures, and meeting times

B.       All financial requests must

       1.        First go before the budget committee meeting where the budget committee will evaluate the request and give the Senate a recommendation.

       2.        The head of the organization will be given an opportunity to speak on behalf of the request and field appropriate questions from the Senate.

       3.        The Treasurer will have a balance of the funds so that the Senate will know the current financial holdings of the Senate account when making the decision.

       4.        A single 2/3 Senate vote for the motion is needed to pass the request.

       5.        The organization will be responsible for providing a detailed expenditure list to the Treasurer for the Senate financial files.

     Section 5:  Financial Responsibility

       A.      Organizations will be required to provide an itemized expenditure sheet upon any request of funds that will be reviewed by the Budget committee.

       B.       Organizations will be required to submit all receipts/expenditures/unused funds of allocated funds for the files of the Budget committee.

       C.       If sections 6a or 6b are not met within reasonable limits, then the organization/person will be considered under section 6d.

              D.   Misuse of funds

       1.        Organizations/persons may be accused of misuse of funds if both

       a.       A written statement of accusation is presented to the Budget committee.

       b.       The Budget committee determines the accusation is legitimate grounds for further investigation.

       2.        Should an organization/person be formally accused of misuse of funds

       a.       Funding for the organization/person shall immediately cease.

       b.       The Senate shall be notified.

       c.       The Budget committee and the Academic Integrity committee shall act              in all due haste to hold a joint hearing on Organizational              Misappropriations.

       3.        Organizational Misappropriations Hearing

       a.       This hearing shall be closed except for the members of the Budget              committee, members of the Academic Integrity committee, members              of the executive committee, and a number of representatives of the              accused organization/persons.

       b.       The Treasurer shall chair the hearing and write the opinion of the joint              committee.

       c.       The opinion shall be presented at the next Senate meeting.

       d.       Should the opinion fall against the student organization, the opinion              shall conclude with a main motion to revoke organizational status              from the accused organization by a two-thirds vote of the Senate.

       e.       Should the opinion fall against a student/group of students, it will be noted in the minutes with copy forwarded to student affairs.
