Your Active Status |
|
To ensure active status student organizations must comply with Student Senate Bylaws. These bylaws are enforced by the BSO. The BSO will contact you and your organization about the criteria needed to achieve active status during the current school year.
A. BSO: Active Status Checklist for Student Organizations 1) Updated description on a WSUSOM website (forthcoming) [may fall under main campus] 2) Updated profile in the Annual WSUSOM Student Organization Booklet submitted to the BSO 3) Submit a copy of your budget to the BSO. 4) If received a budget from the medical school, turn in a Budget Expenditures form to the BSO listing the amount received by the organization from the medical school and a listing the exact dollar amounts spent for each transaction, a description of what it was for, and estimates and reasons for future transactions. Be as specific as possible. 5) Submit a “List of Events” document no later than March 1st of the current school year to the BSO in the format as described in the List of Events Guidelines Sheet available on the BSO. website. Each organization must have a minimum of 1 event per semester or host a week long seminar unless a separate arrangement has been pre-approved by the BSO. (forthcoming) [may fall under A.W.S.O. Booklet] 6) The organization must create a listing of all current members and the current executive board and submit it to the BSO. [may fall under main campus] 7) The organization must submit a copy of their current constitution to the BSO. Constitution guidelines can be found on the BSO website. (forthcoming) [may fall under main campus] 8) The organization must submit a “Purposes and Goals” document for the current school year no later than March 1st to the BSO. Guidelines for the “Purposes and Goals” document can be found on the BSO website (forthcoming). [may fall under main campus] 9) The organization must be registered at main campus and at the medical school for the current school year.
B. Active Status as defined by the Student Senate Bylaws (Robert’s Rules of Order current addition) for WSUSOM Student Organizations for the 2008-2009 Academic School Year
Article XI Duties and Responsibilities of Student Organizations Purpose: The purpose of this article is to ensure a minimum level of responsibility that student organizations have to maintain to be eligible for the support of the student senate (including financial support for organization events). Section 2: Active Status To maintain the designation of active status, each organization must fulfill the following requirements:
A. The organization must have a current updated description on the SOM website [either on http://www.med.wayne.edu/student_affairs/activities_program/organizations.asp OR http://www.med.wayne.edu/student_affairs/activities_program/interest_groups.asp OR http://www.med.wayne.edu/student_affairs/activities_program/government.asp B. The organization must have an updated profile in the Annual WSUSOM Student Organization Booklet submitted to the BSO no later than March 1st of the current school year. C. The organization must submit a copy of their budget to the BSO no later than March 1st of the current school year. D. If the organization receives funding from the medical school it must account for its appropriate use of its budget by submitting receipts and a summary listing of all expenditures excel document no later than March 1st of the current school year to the BSO in the format as described by the Budget Expenditures Guidelines Sheet available on the BSO website. E. The organization must submit a “List of Events” document no later than March 1st of the current school year to the BSO in the format as described in the List of Events Guidelines Sheet available on the BSO website. Guidelines for the “Purposes and Goals” document can be found on the BSO website. I. The organization must be registered at main campus and at the medical school for the current school year. The organization must continue to allow every medical student an opportunity to be part of the group.
The Student Senate Executive Committee and the BSO shall meet in April of each academic year to review each Student Organization’s compliance with the above requirements. Those organizations that meet these requirements will be granted active status for the following academic year. Section 3: Inactive Status Any organization not meeting the requirements for active status shall be given inactive status. Organizations with this status will have a diminished opportunity for funding from the medical school and will not be allowed to access Senate funds except for those events which are seen as an attempt for the organization to regain active status. If you believe the title of inactive is unjustly given, you may appeal to the Student Senate. Any organization which is inactive and wishes any of the above privileges of active organizations must petition the Student Senate and BSO for these rights. Privileges will be granted by the BSO and Senate on a limited basis provided that the organization shows a strong effort to regain active status. Section 4: Reinstatement of Active Status Organizations can become reinstated to active status by petitioning the Student Senate and BSO for a review of their status as soon as they meet all the requirements of Section 1. If the Senate and BSO deem that all requirements have been fulfilled, then active status will be restored to that organization.
